Abstract

The Event Management System with Automated Check-In enhances attendee engagement by utilizing mobile and web applications that enable quick and efficient check-ins via QR codes. This approach significantly streamlines the check-in process, reducing wait times and improving accuracy in attendance tracking. A user-friendly interface paired with clear instructions ensures a seamless experience for attendees. Traditional manual check-in methods often lead to issues such as double-checking or missed entries, which compromise data integrity and hinder event flow. By addressing these challenges, the automated system fosters a more organized, engaging, and data-driven environment for school events. The project team adopted Agile Scrum as the development methodology to ensure flexibility and responsiveness throughout the project lifecycle. Agile's iterative and incremental structure enabled the delivery of functional system components in short sprints, allowing the team to incorporate evolving requirements and stakeholder feedback. This approach supported seamless collaboration among developers, researchers, and security analysts, ensuring a balanced focus on both functionality and system security. To meet the project's specific needs, minor adaptations—such as extended sprint durations for in-depth security analysis—were made while maintaining alignment with core Agile principles. The development of School Management System 4: Event Management with Automated Check-In System for Attendee Engagement has produced significant outcomes that enhance the efficiency of event operations at Bestlink College of the Philippines. Key deliverables include the successful implementation of a QR code-based student attendance system, an automated event check-in process, and a centralized administrative dashboard. The system also strengthened security through user authentication and improved administrative efficiency by automating report generation and sending real-time notifications. This capstone project addresses the inefficiencies of manual attendee check-in processes at school events by developing an automated system that utilizes QR codes and mobile/web applications. Implemented using the Agile Scrum methodology, the project successfully delivered key components, including a QR code-based check-in feature, a centralized event management system, an administrative dashboard, enhanced security measures, and automated reporting functionalities. Designed for Bestlink College of the Philippines, the system aims to improve attendance accuracy, streamline event operations, and enhance overall attendee engagement.
