This study presents the development and deployment of an AI-integrated Human Resource Management System, Merchandising Management System: HR4, specifically designed for Great Wall Arts, a company specializing in local handmade products. The system integrates attendance monitoring, 201 file management, and a modernized payroll module into a single digital platform. By automating these key HR processes, HR4 ensures accurate real-time attendance tracking and efficient payroll computation using AI. Furthermore, the digitization of 201 files enhances data security and accessibility, streamlining administrative operations while supporting compliance with labor policies. The study adopted a systems development approach using the Agile Scrum methodology. HR4 was built through modular components focused on attendance monitoring, 201 file handling, and payroll processing. AI was incorporated to facilitate automated decision-making and real-time analysis. PHP was used for backend development, MySQL for database management, and Tailwind CSS for frontend responsiveness. Iterative sprint cycles, regular testing, and client feedback from Great Wall Arts guided the system's continuous refinement and alignment with operational requirements. The implementation of HR4 significantly improved operational efficiency in the HR department of Great Wall Arts. The automation of attendance tracking, payroll calculation, and employee record access reduced manual workload and error incidence. Real-time attendance data synchronized directly with the payroll module, improving accuracy and minimizing salary disputes. The digitized 201 file management system provided secure and quick access to personnel records, thereby enhancing administrative responsiveness and data integrity. The findings demonstrate that integrating AI into core HR functions can transform traditional workforce management approaches. For growing organizations like Great Wall Arts, automation reduces administrative overhead while promoting compliance and data accuracy. The system’s modular design supports scalability and future integrations such as biometric attendance and banking APIs. These results emphasize the importance of digital transformation in meeting the evolving demands of human resource operations.
