Abstract

An Administrative Management System (AMS) is a structured framework designed to streamline and optimize administrative tasks, functions, and processes within an organization. It plays a crucial role in communication management by enabling seamless interaction among users and in calendar management by facilitating the tracking of upcoming events and meetings.

However, many existing AMS solutions face significant challenges, including fragmented communication channels, disjointed calendar tools, and poor integration. These inefficiencies often lead to miscommunication, scheduling conflicts, delays, and frustration among users. Addressing these issues requires a more cohesive and integrated AMS that enhances communication, synchronizes scheduling, and improves overall organizational efficiency. The project team employed key components to support development using the Agile methodology, which breaks work into phases, providing a structured, step-by-step process for project execution. This approach ensures that all requirements are met, as weekly sprints drive continuous progress. Additionally, stakeholders are actively involved through interviews to gather data, ensuring the project’s quality, accessibility, and alignment with user needs. The Administrative Management System (AMS) developed by the project team successfully meets user requirements. To address challenges in communication and calendar management, the team created an integrated system that allows administrators, managers, and staff to manage calendars, assign tasks, schedule meetings, and track events and chats. This solution enhances teamwork, reduces scheduling conflicts, and improves overall efficiency. Additionally, the system increases the company’s flexibility and agility in managing appointments and meetings, ensuring users have real-time access to up-to-date schedule information. The system has the potential to significantly enhance organizational communication, efficiency, and productivity. After thorough testing, the project team confirmed that the Communication and Calendar Management System effectively helps administrators, managers, and staff prevent scheduling conflicts. Additionally, a key takeaway from the project is the critical role of stakeholder engagement in ensuring successful project development.
