Abstract

In the dynamic public transportation sector, persistent procurement inefficiencies—such as fragmented vendor coordination, sourcing delays, and lack of transparency—continue to undermine operational effectiveness. Farinas Transit Inc., a leading bus operator in the Philippines, regularly confronts these challenges. This study proposes an AI-driven Bus Transportation Management System designed to streamline procurement by implementing a centralized Vendor Transit Portal. This solution aims to enhance vendor collaboration, accelerate sourcing processes, and improve transparency, ultimately driving greater efficiency and reliability in operations. The system was developed using the Agile Scrum methodology, employing iterative sprints, comprehensive sprint planning, and regular sprint reviews. Continuous collaboration between stakeholders and development teams enabled adaptive planning and seamless integration of microservices architecture, DevOps pipelines, and TOGAF enterprise architecture principles. This approach resulted in a system that automates procurement workflows, facilitates real-time tracking, optimizes vendor selection, and delivers insightful performance analytics to support data-driven decision-making. The AI-integrated portal successfully automated critical procurement functions, including order generation, bidding, inventory alerts, and supplier evaluation. It features real-time dashboards for comprehensive vendor performance monitoring and up-to-date order status visibility. Integration with existing systems ensured seamless synchronization of inventory and procurement data. This solution markedly reduced manual errors, shortened procurement cycles, and enhanced communication and collaboration between procurement teams and vendors, thereby driving overall operational efficiency. The project demonstrated that integrating AI into procurement processes can significantly minimize operational delays, strengthen vendor accountability, and facilitate predictive analytics for enhanced strategic planning. The centralized platform fostered greater transparency, ensured regulatory compliance, and improved overall service quality. Key insights underscored the vital importance of continuous stakeholder engagement throughout agile development cycles and revealed the portal’s strong potential for scalability across diverse transportation networks and logistics industries.
