Abstract

Educational institutions increasingly struggle with managing student financial data due to the limitations of manual systems. To address this, we developed the Student Management System (SMS) to streamline the tracking of student balances and the generation of outgoing fee reports. The system enables the Management Information System (MIS) department to enhance financial accuracy, reduce human error, and provide greater transparency for both students and administrators. Following the Agile Scrum methodology, the project was divided into multiple sprints to ensure iterative development and continuous improvement. In each sprint, specific modules—such as student account tracking, outgoing fee report generation, and payment status monitoring—were incrementally developed and tested. The technology stack included PHP for backend development, JavaScript for interactivity, CSS for front-end styling, and HTML for structuring the website. The implemented system significantly reduced the administrative workload by automating balance tracking and report generation. It improved data consistency, enhanced the accessibility of student financial records, and enabled more accurate and timely reporting within the MIS department. Integrating balance tracking and fee reporting into a centralized system transforms how educational institutions manage student finances. This unified approach enhances operational efficiency, fosters transparency, and supports data-driven decision-making across administrative departments.
