Abstract

Effective document management is crucial for organizations to succeed in today’s fast-paced digital landscape. Our project, the E-Commerce Administrative Document Management System, aims to enhance how businesses handle their documents through an integrated web-based platform. The system features automated document sorting, enabling users to quickly organize and retrieve files while reducing errors. Additionally, it provides personalized notifications to keep users informed about important updates and deadlines. By streamlining administrative processes, this project offers a reliable solution to help organizations stay organized, improve efficiency, and enhance responsiveness in their daily operations. Throughout the development of this project, we considered various approaches. One effective technique we implemented was the Agile Scrum Methodology, which helped us manage our time effectively and meet the deadlines for each sprint. To ensure we stayed on track, the developers divided the project into smaller, manageable sprints. With proper planning utilizing the Agile Scrum methodology, the development team successfully created and developed various components of the system during the sprints. Although there are still some features that need to be added, this work remains within the timeline of the planned sprints and will be completed as soon as possible. The implementation of the Administrative Document Management System has yielded promising results that align with the project's objectives. Through the Agile Scrum methodology, the team effectively developed and deployed essential system modules during the planned sprint cycles, including document sorting, custom notification alerts, user management, and legal and facilities documentation. The proposed system includes essential features such as user management with role-based access control, the ability to track legal and facilities documents, visitor monitoring, and a dynamic alert mechanism that notifies users about document updates, deadlines, and tasks. It is built on a microservices architecture, allowing each module to operate independently with its own database while communicating seamlessly through an API gateway. This design enhances scalability, security, and ease of maintenance. Additionally, the project complies with enterprise architecture standards by integrating business process mapping, application design, network structure, and a CI/CD deployment pipeline.
