Abstract

The purpose of this study was to assess the satisfaction and perspectives of stakeholders regarding the newly implemented School Management System (SMS) at Bestlink College of the Philippines. The system’s primary users include students, faculty, administrative staff, and the IT department. Stakeholders anticipated that the SMS would enhance the efficiency of managing key functions such as academic performance tracking, payment processing, announcements, and internal communication. By gathering user feedback, the study aimed to highlight the system’s strengths and identify areas in need of improvement. To gather stakeholders' perspectives, the research team employed a mixed-method approach, including interviews and the distribution of survey questionnaires. Respondents included students, teachers, school officials, and other staff members of the institution. The survey focused on key aspects of the School Management System (SMS), such as usability, security, performance, and core functionalities. In-depth interviews were conducted with school officials and IT staff to gain deeper insights into operational efficiency and technical challenges encountered during the system’s implementation and use. The results of the survey and interviews revealed that the majority of respondents were satisfied with the functionality and user-friendliness of the School Management System. Students particularly appreciated features that allowed them to check grades, submit payment receipts, and receive timely school announcements. Likewise, school officials and staff commended the system for streamlining administrative processes and enhancing internal communication. Despite the overall positive feedback, some respondents identified areas for improvement, including the need to optimize system performance and strengthen security features. The findings indicate that the School Management System effectively addresses the needs of most users by providing convenience and enhancing efficiency in both academic and administrative processes. Positive feedback from stakeholders suggests that the system successfully facilitates communication among students, faculty, and school officials. Nonetheless, areas for improvement remain, particularly regarding system performance and security. The insights gathered through surveys and interviews will be instrumental in guiding future updates to ensure the system remains secure, scalable, and user-friendly. Ongoing stakeholder engagement will be essential for informed decision-making and for sustaining the long-term success of the system.
