Abstract

Managing educational institutions has become a critical factor in ensuring their success in today's dynamic environment. Schools, colleges, and universities face persistent challenges in organizing and overseeing daily operations, not only to maintain functionality but also to create an environment conducive to academic excellence and student development. These challenges are often amplified in remote or under-resourced areas. To address such issues, it is essential to leverage data-driven systems that promote equitable and efficient management, thereby enhancing staff performance and student satisfaction. A well-designed management system can significantly contribute to these goals. This study will be conducted at Bestlink College of the Philippines, with a specific focus on the institution’s financial operations. It will examine how the implementation of a new system for managing financial transactions may impact the daily activities of the school, influencing faculty, staff, and students alike. The findings are expected to provide valuable insights for developing a more streamlined and effective approach to institutional administration. The research employed the Agile Scrum Methodology in the development of an AI-driven Cashiering Management System with QR code payment integration. This approach facilitated a flexible and iterative development process through sprint cycles, enabling timely feature implementation and ongoing enhancements. Agile Scrum also allowed the development team to adapt effectively to evolving requirements, fostered strong collaboration, and supported rapid identification and resolution of issues throughout the project lifecycle. The implementation of the new AI-powered Cashiering Management System with integrated QR code payments at Bestlink College of the Philippines resulted in a 60% reduction in transaction times. This advancement significantly improved the speed, accuracy, and security of financial processes. Designed based on direct user feedback, the system was tailored to meet essential functional and security requirements. It provided substantial benefits to students, staff, and administrators, ultimately enhancing operational efficiency and overall user satisfaction. The AI-driven Cashiering Management System with QR code payments was developed to optimize the cashiering process while addressing the specific needs of its users. The system features a user-friendly interface, a PHP-based backend, a secure MySQL database, and an AI module powered by OpenAI for real-time fraud detection. It also includes a built-in notification system to keep users informed of transactions and updates. Designed to support multiple user roles and access across various devices, the system was developed using the Agile Scrum methodology to ensure adaptability and continuous integration of user feedback throughout the development process.
