Abstract

The School Management System 4: Admission was developed to replace and enhance traditional manual admission procedures. It streamlines the entire process by leveraging AI tools for efficient document verification, improving application management workflows, and delivering real-time updates to applicants. To ensure data privacy and system integrity, it incorporates advanced security measures such as OTP (One-Time Password) authentication, encrypted data storage, and strict access control protocols. The system was developed on the WAMP stack (Windows, Apache, MySQL, PHP) and built using a microservices architecture to enhance scalability and maintainability. AI-driven file verification ensures the authenticity of submitted documents, while role-based access control safeguards user data by regulating permissions. The development followed the Agile Scrum methodology, enabling continuous iteration, testing, and refinement throughout the project lifecycle. The system streamlined the enrollment process by automating application tracking and document submission, effectively reducing manual workload and accelerating processing time. Administrators utilized the platform to manage student applications, update statuses, and handle records efficiently. AI-powered verification mechanisms ensured document authenticity, significantly decreasing the occurrence of fraudulent submissions. The system maintained high performance and reliability during both dual-user and multi-user sessions, with minimal downtime. The automation capabilities of the system have effectively enhanced admission management procedures. To further improve performance and user experience, future upgrades will focus on integrating mobile responsiveness, reinforcing security protocols, and expanding API connectivity. Additionally, planned enhancements such as automated data backups and load balancing mechanisms will contribute to greater system stability, scalability, and reliability.
