Abstract

The School Management System 2 (SMS2) was developed to enhance the efficiency of the Bestlink Bookstore by introducing separate sections for uniforms, books, and other school supplies. This organized structure not only improves customer service but also streamlines inventory management. Under the previous walk-in system, students faced long lines, and poor tracking often led to missing items before distribution. To resolve these issues, the project centers on creating a user-friendly online platform that modernizes bookstore operations and makes it easier for students to access the items they need. The system includes an online shopping feature linked to students’ school accounts, allowing them to browse categorized sections: uniforms (with size information), books (organized by course), and other school supplies. A standout feature is the real-time inventory tracker, which maintains accurate stock levels, sends low-stock alerts to administrators, and supports timely restocking to prevent shortages. The system allows students to browse products, add items to their cart, and complete purchases online—making the buying process faster and more convenient. It offers multiple secure payment options, such as GCash, school cashier payments, and installment plans. To keep students informed, the platform features an automated notification system that updates them on their order status, from confirmation to scheduled pick-up. For administrators, the platform provides powerful tools for managing product listings, tracking inventory, and generating comprehensive reports on sales, stock status, and user activity to support effective decision-making. SMS2 was developed using the Agile Scrum methodology, allowing for flexible, iterative progress and rapid adaptation to evolving requirements. The system adopts a Microservices architecture to ensure modularity, scalability, and fault tolerance. DevOps practices—particularly Continuous Integration and Continuous Deployment (CI/CD)—were integrated to streamline the development pipeline and accelerate delivery. With these modern development strategies, SMS2 is poised to significantly boost operational efficiency and enhance the overall user experience for Bestlink College students.
