Abstract

The SMS Enrollment & Admissions system at Bestlink College of the Philippines effectively resolves common inefficiencies found in traditional enrollment methods. It delivers timely updates, reduces student queues, and simplifies status tracking. For staff, it minimizes repetitive inquiries, manual verification tasks, and data inconsistencies through centralized information management. Automated SMS notifications and a comprehensive database enable real-time monitoring of student progress, requirements, deadlines, and admission status, thereby increasing transparency and streamlining the enrollment process. The project was developed using the Agile Scrum methodology. The backend was implemented in PHP with a secure MySQL database, while the frontend utilized HTML/CSS and JavaScript for interactivity. Automated real-time SMS notifications are managed via a third-party API. The system follows a modular approach, dividing functions into registration, submission, tracking, and SMS modules, each undergoing unit testing followed by integration testing. Reliability was confirmed through practical testing involving students and staff. Initial development was conducted on local servers, with cloud deployment planned to enhance scalability. The database schema supports the continuous accumulation of student records to enable historical analysis. Real-time SMS notifications significantly enhanced the enrollment process by reducing the volume of in-person inquiries. Students received prompt reminders regarding deadlines, confirmations, and admission statuses, resulting in fewer walk-ins and phone calls. Registrar staff experienced increased efficiency through automated progress tracking and comprehensive data insights—such as admissions by department, pending documents, and completion rates—supporting informed decision-making and optimized resource allocation. Performance testing validated the system’s stability under high user demand, while validation mechanisms effectively minimized errors and prevented duplicate records. The admissions and enrollment process begins with students submitting their applications, including academic and personal details. The admissions office reviews these applications to assess eligibility. Once accepted, students confirm their admission by submitting a confirmation form, paying the enrollment fee, and providing any additional required documents. The final enrollment steps involve class registration, orientation, and setting up school accounts, preparing students to commence their classes.
