Abstract

Modern service operations demand efficient workflows, real-time coordination, and scalable systems to manage logistics and maintenance effectively. To address these requirements, we developed LOGISTIC 1, a unified Service Management System designed to streamline key functions such as Vendor Engagement, Vehicle Reservation, Fleet Oversight, Audit Compliance, and Maintenance, Repair, and Overhaul (MRO). By centralizing these operations using modern web technologies, LOGISTIC 1 improves transparency, minimizes administrative burden, and enables continuous optimization of assets and services. The system utilizes a role-based access control (RBAC) model, providing customized interfaces and permissions for staff, administrators, super administrators, and vendors. Through a secure vendor portal, vendors can register, bid on contracts, and manage ongoing engagements. The Vehicle Reservation feature enables internal users to check availability and reserve company-owned vehicles efficiently. Fleet Management offers real-time insights into vehicle usage, maintenance schedules, and key performance metrics. The Audit Management module automates compliance documentation and supports continuous monitoring of regulatory readiness. The Maintenance, Repair, and Overhaul (MRO) module manages work orders, tracks parts inventory, and schedules servicing to extend the operational life of assets. The system was developed using the Agile Scrum methodology, enabling iterative improvements and continuous stakeholder feedback throughout the project lifecycle. The implementation of LOGISTIC 1 significantly enhanced operational control and transparency across service operations. The vendor portal streamlined procurement processes, reducing the need for manual coordination and accelerating vendor engagement. The vehicle reservation system minimized scheduling conflicts and optimized the utilization of company-owned vehicles. Fleet management features reduced vehicle downtime and improved the accuracy of maintenance tracking. The audit automation module minimized documentation errors and strengthened regulatory compliance. Meanwhile, the MRO module enabled proactive maintenance, thereby increasing equipment reliability and extending asset lifespan. LOGISTIC 1 unifies critical logistics and service functions within a modular and scalable system architecture. It enhances daily operations while laying the foundation for future upgrades, including mobile accessibility, GPS integration, and predictive analytics. By offering real-time visibility and advanced decision-making tools, it strengthens operational governance and fosters more sustainable and data-driven service management practices.
